Where does my patient data live?

Only on your phone, encrypted at rest using platform-protected key storage and protected by the app lock. Our servers have no fields for patient data at all — see the privacy policy. Make encrypted backups from Settings and keep a copy off the phone; the backup is sealed with a passphrase only you know.

How do fees get calculated?

The app downloads Ministry schedule data and helps calculate supported consultation, visit, procedure, unit, premium, and multi-procedure scenarios. You choose and review the codes; the app shows the resulting estimate. Review unusual combinations against the Schedule of Benefits before submitting.

How do claims actually reach OHIP?

During private early access, clearcodeMD generates ministry-format EDT claim files and opens the MCEDT portal inside the app so you can attach the chosen batch without file juggling. You sign in, review, and confirm submission with your own GO Secure credentials; the app never sees or stores your password. Direct MC EDT web-service integration is planned before public launch, subject to the Ministry conformance process.

What happens when OHIP responds?

Import Batch Edits, Error Reports, and Remittance Advice files and the app updates each matching claim's status (paid, reduced, refused, rejected, or stale). It explains the return and suggests a next action; corrected claims can be copied back to drafts and regenerated.

What syncs to my account?

Only your physician profile, practice settings, and a de-identified financial claim ledger used for the website dashboard and restoring a blank new phone. That ledger includes service codes, amounts, statuses, and return explanations. It never includes patient names, health numbers, version codes, sticker images, or source documents. Existing records on a phone are never replaced by the server; restoration only happens on a blank new device.

Will a new phone download my exact PDFs and claim files?

No. Account sync restores only the limited financial ledger and practice settings. Restore a valid passphrase-encrypted backup to recover exact PDFs, EDT files, images, and full local case records.

Can I edit a day after generating its PDF or claim?

Yes — open the day's PDF in Files and tap Edit. Change or remove cases, and the PDF, claim file, and ledger regenerate with recalculated fees. If you already submitted the old claim file, resubmit the new one.

What if I lose my phone?

Your device lock + the app lock protect the data on the lost phone. On the new phone, install the app, sign in, and restore your encrypted backup — everything comes back, including sticker images. This is why the backup nudge exists; don't ignore it.

Which provinces are supported?

Ontario (OHIP) is the only supported province today. clearcodeMD supports the Ontario fee schedule, EDT batch format, and a clinician-confirmed MCEDT portal workflow. Other provincial plans are not available yet.

Which specialties does it support?

clearcodeMD is for Ontario physicians, with dedicated operating-room and consultation workflows today. The app searches downloaded Ministry schedule data, but fee logic cannot replace clinical billing judgment for every specialty-specific exception or combination.

Is this a free product?

New eligible physicians receive one 30-day trial per OHIP billing number, with no card required. After the trial, nothing is charged automatically; existing local records remain available while you decide whether to subscribe when Professional becomes available.

Is this billing advice?

No. clearcodeMD automates the Schedule's published rules and flags likely problems, but claims go out under your billing number and remain your responsibility — see the terms.
